Start with the service you provide and the name your clients know. CaptureBeacon supplies safe defaults whether you work alone, with a team, or as an established organization.

Invite-only Early Access: You can explore the public preview without saving anything. If you were invited to use CaptureBeacon, start with Microsoft sign-in, enter the name you show clients, and create your own private workspace. You do not need the person who sent this link to configure anything for you. Microsoft handles sign-in; CaptureBeacon never receives your password. Use real client or participant information only in a supported provider workflow after reviewing the applicable service notice. keep an independent copy of time-sensitive information.

How do you serve your customers?

Choose everything that fits. This is not an industry list—CaptureBeacon will prepare the useful pieces and leave the rest out of your way.

Your identity

Only a public name is required for this preview. Leave the technical labels blank and CaptureBeacon will create sensible ones.

Use your own words. CaptureBeacon does not require your business to fit an incomplete industry list.
Choose photography only when you need portrait, gallery, camera, and Photo Hub workflows.
The main service clients ask for.
Link to the scheduler you already use. CaptureBeacon does not copy its client data.
Your personal name or service name. Using a creative name here does not mean you are claiming to be a registered business.
Used where space is limited.
Identifies your three workspace surfaces. A matching company.capturebeacon.com address will follow after domain routing is verified.
Used only for stable internal IDs.
FoSF uses “EventFlow.” You can use your own operations name.
Your preferred service email can go here. It can differ from the administrator sign-in and does not connect the mailbox to CaptureBeacon.
Receives private staffing and coverage alerts. CaptureBeacon will not assume your public contact email is authorized for these notices.

Customer page and communication

Your CaptureBeacon customer page is included. Keep it private while you prepare it, then publish only the services and links you choose.

Required CaptureBeacon messages: the client receives a request receipt or confirmation, and the manager receives every new request alert. Schedule changes and cancellations will never be silent. A future payment connection may use a 10-minute checkout window, but it will not block the calendar until payment is confirmed.

Your name and work remain yours. CaptureBeacon displays the information you provide; it does not register or transfer a trademark, grant a professional license, verify permissions, endorse services, or guarantee legal compliance. Each user remains responsible for having the right to use their name, branding, links, photographs, and services and for following applicable rules. This preview is not legal advice.

Complete the everyday service basics first. Events, team operations, reporting, and recovery remain available only when you need them.

Optional: create a custom event
  1. Create a private event plan with its name, date, location, and workflow.
  2. Open the event and complete the readiness items that apply.
  3. Activate it when the participant event page and registration should become available.
  4. Use Manager for planning, Field for the assigned team, and the Participant Event Page for public details, QR registration, arrival, and gallery access.

CaptureBeacon does not store photograph files. Saved delivery links open the outside service your workspace already uses.

Create an event plan

People with workspace access

Only the owner can add or remove access. Managers can run the workspace. Photographer access follows the reviewed onboarding and exact-event workflow. Platform Support is temporary, read-only, separately allowlisted, and shows diagnostics without participant identities.

Use only the exact support email and request reference CaptureBeacon gives you. Support cannot enter Manager View, Field, participant records, or change workspace data.
